Privacy Policy
Last updated October 11, 2026
Integrator Optics (“we”, “us”) is software that low-voltage and specialty contractors use to run their business: estimates, proposals, jobs, scheduling, purchasing and billing. This policy explains what information we handle, why, and the choices you have. It covers our website, the Integrator Optics app, the customer portal, and our integrations, including Integrator Optics for Microsoft 365 Copilot.
Two kinds of information
Account information is about the businesses that subscribe and the people who use the app: names, work email addresses, phone numbers, roles, sign-in details, and billing details for the subscription. We are responsible for this information.
Business data is everything a business puts into Integrator Optics about its own work and its own customers: customers and contacts, sites, leads, estimates, proposals, jobs, schedules, time records, photos, purchase orders, invoices and payments. That data belongs to the business. We process it on the business’s behalf and only to provide the service to them. If you are a customer of a business that uses Integrator Optics, that business decides how your information is used; please contact them first.
What we collect
- Information you give us: account and profile details, business details, and anything entered into the app.
- Usage and device information: pages used, actions taken, approximate device and browser type, and error reports, so we can keep the service working and secure.
- Location, only where a business uses it: a technician’s location when they clock in or out, or share it for dispatch. You can turn location sharing off on your device.
- Cookies and similar storage that keep you signed in and remember preferences such as light or dark mode. We do not use advertising cookies and do not sell or rent personal information.
How we use it
- To provide, maintain and support the service, including the customer portal and integrations you turn on.
- To send service emails a business asks us to send, such as proposals, invoices, reminders and sign-in emails.
- To bill subscriptions and prevent fraud and abuse.
- To keep the service secure, diagnose problems and improve features.
- To meet legal obligations.
We do not use business data to train AI models, and we do not sell personal information.
Who we share it with
Only with service providers who help us run Integrator Optics, under contracts that limit their use of it:
- Hosting and databases: Cloudflare, PlanetScale and Fly.io (United States).
- Email delivery: Cloudflare.
- Payments: Stripe and Intuit QuickBooks, when a business connects them. Card and bank details are entered on their pages and are not stored by us.
- AI features: Cloudflare Workers AI, when a business has the AI Assistant add-on. Requests are processed to answer them and are not used to train models.
- Other integrations a business chooses to connect, such as QuickBooks.
We may also disclose information if required by law, or to protect the rights and safety of our users and the service.
Integrator Optics for Microsoft 365 Copilot
If your business has the AI Assistant add-on, you can connect your Integrator Optics account to Microsoft 365 Copilot. You choose to connect it by signing in and approving the connection. Copilot can then read and create information in your account on your behalf, limited to what your own role allows. It cannot send anything to your customers, delete records or take payments.
Information Copilot retrieves from Integrator Optics is handled by Microsoft under Microsoft’s own terms and privacy statement for Microsoft 365 Copilot. You can disconnect at any time under Settings › Integrations › Connected apps, which ends Copilot’s access.
How long we keep it
We keep account information and business data for as long as the business’s subscription is active. When a business closes its account, its data is deleted or anonymised within 90 days, except where we must keep records longer by law (for example, billing records).
Security
Data is encrypted in transit and at rest. Access is limited by role inside each business and enforced in the database, and staff access to a business’s data requires that business’s permission. No system is perfectly secure, but we work to protect your information and will notify affected businesses of a breach as the law requires.
Your choices and rights
You can view and update your profile in the app. Depending on where you live, you may have the right to access, correct, delete or export your personal information, or to object to certain uses. For business data, ask the business that holds it; we will help them respond. For account information, email us at support@integratoroptics.com.
Children
Integrator Optics is a business tool and is not directed to children under 16.
Changes and contact
We will post changes to this policy here and update the date above; for significant changes we will notify account owners. Questions: support@integratoroptics.com.
